These Event Terms & Conditions apply to all supper clubs, gatherings, workshops and in‑person events hosted by Warmth & Wellness (“we”, “us”, “our”). By booking a place, you agree to these terms.
These terms sit alongside our general Website Terms & Conditions. For anything relating specifically to events, the terms below take priority
1. Booking & Payment
Your place is confirmed once full payment has been received.
We reserve the right to refuse or cancel a booking if:
• payment is not completed
• the event is at capacity
• we believe the event is not suitable for your needs
You will receive a confirmation email after booking.
2. Cancellations & Refunds
2.1 If you cancel
Because our events involve advance preparation, venue hire, materials and food planning, all bookings are non‑refundable unless otherwise stated.
If you can no longer attend:
• You may gift or transfer your ticket to someone else.
• Please email us with the new attendee’s name and dietary needs at least 48 hours before the event.
We are unable to offer refunds for:
• non‑attendance
• last‑minute cancellations
• changes in personal circumstances
2.2 If we cancel
If we need to cancel an event due to illness, venue issues, or unforeseen circumstances, you will be offered:
• a full refund, or
• a transfer to a future date
We are not responsible for any additional costs such as travel or accommodation.
3. Dietary, Allergy & Health Information
3.1 Sharing information
To support your wellbeing and prepare safely, we may ask for:
• dietary requirements
• allergies
• relevant health information
By providing this information, you give explicit consent for us to:
• securely store it
• use it only to prepare for your event
• contact you if clarification is needed
3.2 Accuracy
You are responsible for ensuring the information you provide is:
• accurate
• complete
• up to date
We cannot be held liable for issues arising from information that was not shared with us.
3.3 Limitations
While we take great care, we cannot guarantee a completely allergen‑free environment.
4. Event Experience & Conduct
We aim to create a warm, inclusive, and respectful environment.
We may ask a participant to leave (without refund) if their behaviour:
• disrupts the event
• causes harm or distress to others
• breaches safety guidelines
You agree to follow any instructions given to ensure the safety and comfort of the group.
5. Photography & Content
We may occasionally take photographs or short videos during events to share the atmosphere of our gatherings.
We will always:
• ask for consent before taking identifiable photos
• respect your wishes if you prefer not to be included
You may withdraw consent at any time.
6. Marketing Communications
You will only receive updates, invitations, or newsletters if you:
• actively opt in, or
• have an existing customer relationship where marketing is permitted
You can unsubscribe at any time.
7. Liability
To the fullest extent permitted by law, we are not liable for:
• personal injury resulting from failure to follow safety instructions
• loss or damage to personal belongings
• allergic reactions where information was not provided
• travel delays or disruptions
• indirect or consequential losses
• participation in optional wellbeing activities involving diluted essential oils (e.g., foot soak, inhalation, natural household products)
Nothing in these Terms limits liability where it would be unlawful to do so.
8. Accessibility & Special Requirements
If you have accessibility needs, mobility considerations, or anything that would help us support you, please contact us before booking.
We will always do our best to accommodate you.
9. Complaints & Concerns
We want every part of your experience with Warmth & Wellness to feel supportive and respectful. If something hasn’t met your expectations, please contact us so we can put things right.
Email: [email protected]
We aim to acknowledge all complaints within 5 working days and provide a full response within 14 working days.
10. Governing Law
These Terms are governed by the laws of England and Wales.
Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
